BRIEF DESCRIPTION OF DUTIES: The Executive Assistant to the N9 Director provides professional-level administrative, operational, sensitive and/or confidential matters and policy services to the Director.   The incumbent must use independent judgment, tact and discretion for successful performance of the work, as responsibilities may include resolution of internal management, policy and operation problems.  Successful candidates will have a track record of:  Excellent written communication; service as a trusted advisor, providing strategic communication advice to senior leadership; Exhibiting confidence and professional diplomacy; managing ongoing projects while directing the related resources, personnel and activities to successful completion.  Works with FFR Executive Staff to coordinate administrative operations, ensures all correspondence directed to and from FFR Executives is reviewed for content, routed correctly and properly prepared/formatted.  Assists with a wide variety of special and reoccurring projects, assignments that cross program lines working in support of N9 staff which has significant impact on the operation of FFR.  Coordinates all aspects of the FRR executive’s trips; makes travel arrangements and prepares itineraries and prepares travel vouchers via DTS and NAF Travel process.  Assures the FFR Executives have necessary information papers, read-aheads, trip books, speeches, etc. required for each trip.  Creates and develops visual presentations and coordinates with the Region Administrative Officer.  Arranges appointments, determines key meetings which the FFR Executives should attend and decides what staff elements should be involved and arranged for those meetings.  Support in payroll processing using SLACADA and KRONOS pay systems.  Receives telephone calls and visitors and maintains contacts.  Performs functions such as gathering statistical data, meeting logistics, travel support, and tracking of recurring tasks.  Responsible for composing correspondence for signature of director and program directors as required. 

QUALIFICATION REQUIREMENTS: Qualified candidate must have knowledge of the structure, policies and program goals of Fleet and Family Readiness Programs to perform liaison duties and assignments.  Must possess the ability to use Dept of Navy English grammar, spelling, punctuation and sentence structure.  Must possess excellent verbal and written communication skills, computer skills, application and software knowledge including PowerPoint, Word, Excel, Access.  Must possess the ability to multi-task and prioritize projects with deadline achievement. World class customer service is a must. 

CONDITIONS OF EMPLOYMENT: This position is subject to a background check in accordance with federal regulations.  Must have a valid driver’s license.
