BRIEF DESCRIPTION OF DUTIES: The incumbent of this position provides administrative support and assistance to the Family Advocacy Representative (FAR), counselors, and other staff members. Incumbent offers information and direction to clients seeking services of the sub-regional counseling staff, Commander, Navy Region Northwest, Community Programs, Fleet & Family Support Division. Performs a wide range of procedural office work including maintenance of files and records. Types and updates group attendance and homework records from FAP group treatment. Types and duplicates handouts for group participants and other classes. Types correspondence, reports, forms, and statistical data in final form from rough drafts. Ensures correct punctuation, grammar, capitalization, spelling, and compliance with policy, regulation, and instructions. Performs reception duties for staff. Provides a variety of information regarding counseling services to telephone callers and visitors to the office. Refers request for information to professional staff or to the appropriate source. Conducts written or telephone communication with internal and external FFSC staff, sponsoring commands, the FAR, counseling staff, and community agencies. Takes meeting minutes for the Quarterly Family Advocacy Committee (FAC), Case Review Committee Minutes, and staff administrative meeting. Arranges for meetings and conferences, including selecting a mutually satisfactory time, reserving meeting rooms, notifying participants, and preparing handouts and follow-up reports of the proceedings. Performs other duties as assigned in support of FAP services.

QUALIFICATIONS REQUIRED: A general knowledge of the organization’s functions and regulations and administrative procedures of the work unit including supervisor, staff, and FAP. Knowledge of the mission, organization, functions, and operating system within the organization and DoN in order to distribute and control mail, refer phone calls and visitors, and obtain background information. Knowledge of the office and DoN filing systems and procedures. Ability to prepare and maintain clear, concise, and factual minutes of meetings. Verbal communication skills are required to interact with clients and staff. Ability to exercise tact and patience is necessary in daily interactions when collecting information, making referrals, or providing information to visitors and callers regarding counseling services. Knowledge and skill in desktop/laptop computers for word processing, spreadsheet and database management using MS Office. Knowledge of grammar, spelling, punctuation, and navy correspondence rules.

CONDITIONS OF EMPLOYMENT: Candidate must successfully complete a formal background check and maintain security suitability requirements. Regular and recurring work performed sitting at a desk and sitting in conferences and meetings. Work involves dealing with sensitive, controversial and emotional issues.
